Emergency UPS repair

When a UPS alarms, transfers to bypass or drops the load, the first job is to keep the load safe, the second is to get the right person and parts to site. Here is what to do, what to tell us, and how a repair is closed out.

What causes most emergency UPS calls?

Batteries, heat and worn components. Schneider Electric's manual lists elevated temperature, poor utility power and frequent short discharges as causes of shortened battery life, and tells users to replace the battery when the UPS calls for it. Eaton's aging-UPS paper names dust, humidity and heat as the wear factors for electronics, and its maintenance guidance adds blocked air filters, which can shut a UPS down on overheating, and connections loosened by vibration. Many emergency calls are a maintenance finding that arrived early.

How is the load protected during a repair?

By the bypass path while the UPS is repaired, which leaves the load on utility power without UPS conditioning. On some UPS the batteries are not available in maintenance bypass, as Schneider Electric notes for the Galaxy VS. The repair plan says how long the load will be on bypass, what the risk is, and whether the generator should be ready; see static and maintenance bypass.

What happens after the call?

We answer the emergency line around the clock, ask for the model, the alarm and the load state, and send the person and parts the fault needs, on site the same day in Montreal, Quebec City, Toronto or Ottawa and within 24 to 48 hours at other Canadian sites. On site the fault is diagnosed, the repair is made to the maker's procedure, and the UPS is returned to normal with the load transferred back once it is proven. The repair report records the cause, the parts replaced and what should be done to stop it happening again.

How do you avoid the next emergency?

With the findings from this one. Most failures leave a trail in readings: ohmic drift on batteries, a hot connection, a fan or capacitor past its life. Should I reset the alarm myself?

Only if the maker's manual and your site procedure allow it. Many faults must be cleared by service personnel, and a reset can hide the cause.

Can you repair any brand?

What information speeds up the repair?

The model and serial number, the exact alarm text, whether the load is on inverter, battery or bypass, and what changed before the alarm.
